Engagement Tracking
The “Engagement Tracking” feature in Campaign management module of Retention CRM is designed to help Associations, Chambers of Commerce or Not-for-profits in tracking engagement or participation of members, donors, volunteers and other stakeholders in events or other online or offline activities.
General Functionality of “Engagement Tracking” Feature
- Track Participation: Mark which members have participated in a specific event, meeting, or activity.
- Targeted Outreach: Identify donors who haven’t participated and reach out to encourage donations or contributions.
- Data Analysis: Analyze participation trends by demographics or other criteria.
Available Fields/Options in ‘Engagement Tracking’ feature
- Survey * (Required): Select the survey you created to collect participation data (e.g., a survey asking if members attended a specific meeting).
- Interviewer: Assign interviewers to track participation (optional for nursing association scenario).
- Contact Name: Search for specific members by name.
- Contact Type(s): Filter by member categories (e.g., registered nurses, student nurses).
- Group(s): Target specific member groups (e.g., a committee or chapter).
- Street Address (various fields): Search by member location (optional, may not be relevant for all events).
- Search Button: Initiates the search based on your chosen criteria.
Using “Engagement Tracking” Feature in Association Management
Let’s say the nursing association is hosting a workshop on a new healthcare policy. They can use “Engagement Tracking” to track member attendance.
- *Survey : Create a survey asking members if they attended the workshop.
- Leave Interviewer blank: Assigning interviewers may not be necessary.
- Contact Type(s): Select “Registered Nurses” (or relevant category).
- Group(s): If applicable, target specific member groups interested in the policy.
- Leave address fields blank: Not crucial for tracking workshop attendance.
- Search: This will display a list of registered nurses (or targeted group) who can be invited to the workshop.
After the Event:
- Use the same search criteria to find members who haven’t responded to the attendance survey.
- Reach out to non-responders with a friendly follow-up email inquiring about their interest and potential reasons for not attending.
- This allows the association to assess the workshop’s success and tailor future events based on member participation data.
Benefits:
- Increased member engagement through targeted outreach.
- Improved understanding of member interests and needs.
- Ability to measure the effectiveness of events and activities.
More Use Cases for Associations
Track attendance at a conference or workshop
Similar to the example in the passage about the nursing association, any association can use “Engagement Tracking” to track attendance at events they host. This can be done by creating a survey to collect attendance data, filtering by member categories (e.g., members of a specific committee), and then following up with those who haven’t responded.
Track volunteer signups for an event
Associations can use “Engagement Tracking” to track which members have volunteered for an event. This can be done by creating a survey asking members if they would like to volunteer, and then filtering by member availability (e.g., evenings or weekends). Once the volunteer signup period is closed, the association can use “Engagement Tracking” to identify any gaps in volunteer coverage and reach out to members who may be interested in volunteering last minute.
Track member participation in online forums or discussion groups
Associations can use “Engagement Tracking” to track which members are participating in online forums or discussion groups. This can be done by creating a survey that asks members if they have participated in the forum in the past month, and then filtering by member interests (e.g., members interested in a specific topic). The association can then use this information to identify members who may be interested in becoming more involved in the online community.
By utilizing “Engagement Tracking” for tracking, a NGO, Chamber of Commerce or Association can foster a more engaged and active community.
