Schedule Reminders
The ‘Schedule Reminders’ feature in the ‘Settings’ area of Retention CRM allows Nonprofits, Associations and Chambers of Commerce to automate sending emails to contacts at specific times. This can be useful for reminding members about upcoming events, membership renewals, or other relevant information.
How to Use ‘Schedule Reminders’ in Association Management
Here’s a breakdown of the fields and how a nursing association can use them:
- Title & Used For: Briefly describe the reminder (e.g., “Membership Renewal Reminder”). “Used For” can be further customized for specific member segments (e.g., “Registered Nurses” or “New Graduates”).
- When (trigger date): Set the date and time the email should be sent (e.g., 30 days before membership expires).
- Effective From & To (optional): Define a date range for when the reminder should be sent (useful for time-sensitive campaigns).
- Repeat: Choose how often the reminder should be sent (e.g., daily, weekly, or monthly).
- Record Activity: Track the sent emails in the member’s activity history.
- Limit or Add Recipients: Choose to send the reminder to a specific group of members or exclude certain segments.
- Enabled: Activate or deactivate the reminder.
- Email Details: Set the sender name, email address, and email subject line.
- Use Template: Design a reusable email template with your association’s branding and messaging.
- HTML & Plain-Text Formats: Craft the email content in both HTML for formatted visuals and plain-text for wider compatibility.
- Save As New Template (optional): Save your email design as a template for future reminders.
Scenario: A nursing association can use ‘Schedule Reminders’ to:
- Send automated emails reminding members to renew their licenses before they expire.
- Inform members about upcoming educational workshops or conferences.
- Prompt members to register for voting in association elections.
- Share important updates or news relevant to the nursing profession.
By utilizing these reminders strategically, the association can improve communication with members, boost engagement, and streamline administrative tasks.
