Membership Summary
The “Membership Summary” report in Reports module of Retention CRM provides Nonprofits, Associations and Chambers of Commerce a high-level overview of their members categorized by “Membership Type” and the date they joined (“Member Since”). It essentially gives you a count of members within each type and how long they’ve been members, allowing you to identify trends and target specific groups.
General Functionality of “Membership Summary” Report
Description of Available Fields
- Member Since (From To): This date range lets you filter members who joined the association between specific dates. For example, a nursing association might use this to see how many new members they gained in the last quarter (From: [Start of Last Quarter] To: [End of Last Quarter]).
- Membership Start Date (Membership Expiration Date): These filters allow for even more precise control. You can isolate members who joined (Membership Start Date) or whose memberships expire (Membership Expiration Date) within a specific timeframe.
- Primary Membership: This filter helps identify a member’s main membership type if they have multiple memberships.
- Membership Type: This lets you see a breakdown by specific membership categories within your association. A nursing association might have categories like “Registered Nurse,” “Licensed Practical Nurse,” or “Student Nurse.”
- Membership Status: This allows you to see how many members are currently active, pending, lapsed, or cancelled. This is crucial for understanding member engagement and identifying potential issues.
- Campaign: If your association uses campaigns to target specific member groups (e.g., a campaign to promote continuing education courses), this filter can show how many members from each campaign have a particular membership type.
- Currency: If your association accepts memberships in multiple currencies, this filter allows you to view a summary by currency.
- Contribution Status: This can be helpful to see how membership types correlate with contribution behavior (e.g., do higher-tier memberships contribute more?).
- Tag & Group: These filters allow for even more targeted reporting based on custom tags or groups assigned to members. For instance, you might have a tag for “Inactive Members” or a group for “Mentorship Program Participants.”
Using “Membership Summary” Report in Association Management
They can use the “Membership Summary” report with the following filters:
- Member Since (From To): Set the dates to the last 6 months to focus on recent joiners.
- Membership Status: Select “Active” to see how many new members remain active.
- Membership Type: Choose specific membership types offered to new members (e.g., “Student Nurse”).
This report would reveal the number of new members by type and how many have remained active for at least 6 months. This information can be used to assess the effectiveness of onboarding programs or identify areas for improvement.
More Use Cases for Associations, Chambers of Commerce and Nonprofits
Analyze Volunteer Engagement by Membership Type (Association)
- Goal: Understand which membership types contribute the most volunteers.
- Filters:
- Membership Type: Select all membership categories (e.g., “Individual”, “Family”, “Corporate Sponsor”).
- Contribution Status: Choose “Volunteer Hours” (if Retention CRM captures volunteer data as contributions).
- Analysis: This report will show how many members from each category contribute volunteer hours. The association can identify which membership types have the most engaged volunteers and tailor future volunteer recruitment efforts accordingly.
Identify Membership Renewal Opportunities (Chamber of Commerce)
- Goal: Proactively target members whose memberships are expiring soon for renewal campaigns.
- Filters:
- Membership Status: Select “Active” but nearing expiration date (use “Membership Expiration Date” filter).
- Analysis: This report generates a list of members with expiring memberships. The chamber can then launch targeted email or phone campaigns to remind these members of the value of their membership and encourage renewal.
Measure Impact of Advocacy Campaigns (Nonprofit)
- Goal: Evaluate if advocacy campaigns are attracting new members interested in a specific cause.
- Filters:
- Campaign: Select the specific advocacy campaign you want to analyze.
- Member Since (From To): Set the date range to coincide with the campaign period.
- Membership Type: Choose membership types relevant to the campaign’s cause (e.g., “Environmental Protection Advocate”).
- Analysis: This report shows how many new members of specific types joined during the campaign. This helps the nonprofit assess the effectiveness of the campaign in attracting new supporters and tailor future advocacy efforts.
